Welcome to Records Retention Management
Records play a vital role in the overall operation of all state government agencies. They serve as an organization's memory, as a record of past events and as a basis for future actions. No government activity can be accomplished without the documented evidence contained in records.
Every record goes through a life cycle, which begins with its creation and ends with its disposition. Effective records management is more than just a filing and storage system, its the control of recorded information;
Creation: A record is created when you receive or generate information for the first time.
Active Storage: A record is in its active stage as long as you are using or referring to it regularly in the course of business.
Inactive Storage: A record moves into the inactive stage when you need it less often but must keep it for legal, fiscal or administrative purposes.
Final Disposition: A record is at the end of its life cycle when it has out lived its retention period and is no longer needed to conduct business. The larger percent of all records created will be destroyed at the end of their life cycle. The remaining three to five percent will have permanent value and should be maintained in archival storage.
The bottom line is that records retention management will help make Eastern Washington University more efficient, more productive, minimize supply and equipment costs, improve storage systems and protect against litigation risks regarding record keeping practices.
